From acquisition to a closed bound book entry.

The same workflow whether a sale starts at your register or on your storefront — a firearm never leaves without a recorded NICS transaction number and disposition.

Item acquired

When a serialized firearm enters inventory — purchased from a distributor, taken in trade, or received as a transfer — it's logged by serial number and a bound book acquisition entry opens automatically. Nothing about the item's compliance history lives outside that record.

Sale started

A customer buys it at the register, or reserves it through the storefront. Either path uses the same product and inventory record — the storefront doesn't keep a separate stock count that can drift out of sync with what's actually on the shelf.

Held

The moment a firearm is in the cart, the sale goes on hold automatically. Payment can be collected, but the transfer itself can't complete — the firearm stays with the dealer pending the required check.

Result recorded

Staff enter the NICS transaction number and a disposition — Proceed, Delay, or Deny — at the register. Release is blocked until both are present; there's no path to hand over the firearm without them.

Released & closed

Once the disposition is Proceed and a NICS number is on file, the transfer completes and the same bound book entry that opened at acquisition closes. One record, start to finish.

Compliance note

This describes the operational workflow FFL-POS enforces today — the hold, the NICS entry, and the bound book entry. Full electronic completion of Form 4473 follows ATF Rulings 2016-2 and 2022-01; we’ll walk through exactly what that requires for your shop before you rely on it for a live transaction.
